The research in brief

QuickBooks Online is the consensus leader for freelancer and contractor accounting in this 7-platform study, named by all seven platforms with an average listed position of 1.43 and a best position of 1. Wave and FreshBooks also appeared on all seven platforms and are the strongest alternatives for distinct buyer needs: Wave for a genuinely free core bookkeeping and invoicing plan, FreshBooks for invoicing-heavy solo service work. Zoho Books, Xero, Keeper Tax, and Hurdlr round out the qualifying set. The study sent one standardized prompt once to each of seven AI platforms on October 1, 2026, and required an entity to be named by at least two platforms to qualify. The principal limitation is that platform answers are market intelligence, not independent product testing: pricing, plan names, and feature boundaries conflicted across platforms, and company-owned citations outnumbered independent ones for most entities.

Which provider fits your situation?

Questions explored

  • Which accounting software should a freelancer choose if free bookkeeping and unlimited invoicing matter more than tax automation?
  • Is QuickBooks Online or Keeper Tax better for a contractor who wants tax filing included rather than bookkeeping reports?
  • Which freelancer accounting platform should a buyer choose if automatic mileage tracking is the top requirement?

Different freelancers mean different versions of "accounting software." The ranking above is a consensus of platform recommendations, not a single winner for every buyer. Use the fit table below to match the buyer situation to the ranked entity.

1. QuickBooks Online

Questions explored

  • Is QuickBooks Online worth it for a solo freelancer, and what are its main drawbacks?
  • Which QuickBooks plan should a 1099 contractor choose between Solopreneur and Simple Start, and what does each cost?
  • Does QuickBooks Online calculate state estimated taxes or file a freelancer's personal return?

QuickBooks Online is the consensus leader for this use case, and the evidence supports a "good" rather than flawless fit. It is the only entity named by all seven platforms, with an average listed position of 1.43 and five platforms placing it first [29]. The full QuickBooks Online fit review covers the plan-by-plan detail.

Why it ranked here. Every included platform named it, and most placed it at or near the top. The recurring reason is breadth: income and expense tracking, bank connections, transaction categorization, receipt capture, invoicing with payment acceptance, mileage tracking, reports, and accountant access in one system without requiring payroll [29]. The mobile app supports recording and categorizing transactions, invoice creation and sending, receipt capture, mileage tracking, and basic reports, synchronized with the web experience [20].

Best suited for. Freelancers with recurring clients who need professional invoices; contractors who want automatic bank transaction imports, receipt capture, mileage tracking, and accountant collaboration; and users who may later need broader bookkeeping, reporting, sales-tax, or business workflows [29].

Main strengths for this use case. Simple Start is listed as supporting one billable user with access for two accountants, which matches a solo freelancer who does not need employee or multi-user workflows [29]. Both Solopreneur and Simple Start map expense categories directly to IRS Schedule C lines and support export to TurboTax for year-end filing [21]. Automatic GPS-based mileage tracking is available through the mobile app, with business-versus-personal trip categorization [26].

Main limitations. The accounting subscription should not be treated as complete tax-return preparation or filing [29]. Neither Solopreneur nor Simple Start calculates state estimated quarterly taxes - federal only - which is a meaningful gap for freelancers in high-tax states [25]. Automatic mileage tracking works only on the mobile app, not the web version [26]. Solopreneur lacks bank reconciliation and does not include accountant access; Simple Start adds both [191]. Filing 1099-NEC forms for contractors the buyer pays requires an upgrade to Plus or a separate Contractor Payments add-on [35]. Simple Start omits recurring transactions, multi-currency, inventory tracking, and class/location tracking [22].

Pricing or cost summary. Platform-reported pricing conflicts materially. Multiple platforms report Simple Start at $38 per month and Solopreneur at about $20 per month, with a 50% introductory discount for the first three months and a 30-day free trial [191]. One platform reports Simple Start rising to $85 per month in August 2026 [279], while another states Intuit's price-change notice says Simple Start pricing remains unchanged and that $85 corresponds to Essentials [32].

2. Wave

Questions explored

  • Is Wave worth it for a freelancer who needs free invoicing and basic bookkeeping, and what does the free plan exclude?
  • Does Wave track mileage or calculate self-employment tax for a 1099 contractor?
  • Is Wave Pro at $19 per month better than staying on the free Starter plan for bank feeds and receipt capture?

Wave is the second-ranked entity and the strongest free-tier option in this study. It was named by all seven platforms with an average listed position of 3.14 and a best position of 2 [117]. The complete Wave fit review breaks down the Starter and Pro boundaries.

Why it ranked here. Wave's free Starter plan is unusually generous for a solo freelancer: unlimited estimates, invoices, bills, bookkeeping records, mobile invoicing, and a cash-flow and customer dashboard at $0 [117]. No platform disputed that the free tier exists or that invoicing is unlimited on it. The ranking reflects that value proposition rather than any claim of tax sophistication.

Best suited for. Solo freelancers needing free invoicing and basic bookkeeping; contractors who can manually categorize expenses and maintain separate mileage records; and users who want an inexpensive upgrade for bank feeds, receipt capture, and automated transaction categorization [117].

Main strengths for this use case. Free core accounting with unlimited invoicing and bookkeeping records [117]. Pro adds automatic bank-transaction imports, automatic merging and categorization, and bank connections via Plaid [117]. Receipt capture with OCR is available through Pro or a separate Receipts subscription [120]. Pro advertises profit-and-loss, balance-sheet, and cash-flow reports [119]. Independent reviews describe Wave's mobile apps as excellent for snapping receipts and managing invoicing on the go [178].

Main limitations. Native mileage tracking is not established; Wave's documented mileage workflow uses a Driversnote integration, and Wave instructs users to track mileage outside Wave when charging mileage as an invoice line item [51]. Built-in self-employment tax calculation, quarterly estimated-tax support, and complete personal tax filing were not verified in the reviewed materials [112]. Mobile accounting transactions and receipt scanning require Pro or Receipts [47]. Bank-feed availability depends on Plaid-supported institutions [117]. Wave's 1099-NEC functionality is tied to an active payroll subscription and concerns businesses paying contractors, not the freelancer's own return [49]. One platform reports that automatic bank import moved to the paid Pro plan, requiring manual CSV upload on the free tier [260].

Pricing or cost summary. Starter is $0. Pro is listed at $19 per month or $190 per year, priced per business rather than per owner [117]. A separate Receipts feature is listed at $8 per month or $72 per year when purchased separately [117]. Starter card payments are 2.9% plus $0.60 for Visa, Mastercard, and Discover and 3.4% plus $0.60 for American Express; ACH is 1% with a $1 minimum. Pro waives the fixed card fee for the first ten cumulative monthly transactions [117]. Subscriptions auto-renew and can be canceled, with cancellation effective at the end of the billing period [110].

3. FreshBooks

Questions explored

  • Is FreshBooks worth it for a freelancer who invoices clients regularly, and what are its main drawbacks?
  • Does FreshBooks Lite's five-client cap force an upgrade for a contractor with more than five clients?
  • Does FreshBooks calculate self-employment tax or generate Schedule C for a 1099 contractor?

FreshBooks is the third-ranked entity and the strongest invoicing-first option. It was named by all seven platforms with an average listed position of 3.43 and a best position of 1 [84]. The full FreshBooks fit review covers the Lite and Plus tradeoffs.

Why it ranked here. FreshBooks' core positioning is client invoicing, and platforms consistently described it as strong there. Lite includes invoicing to five clients, expense tracking, estimates, payment acceptance, and tax-time reports [84]. It also includes mileage tracking as a free feature on all plans, available in the mobile app [80].

Best suited for. Solo freelancers who invoice clients and need straightforward income and expense records; contractors who want mobile receipt capture, expense categorization, and business-versus-personal mileage classification; and users with up to five active clients who can use Lite without payroll [84].

Main strengths for this use case. Simple client invoicing paired with expense and receipt records [84]. Business-versus-personal mileage classification in the mobile app, with automatic background trip logging [43]. Tax-time and expense reporting that can support personal tax preparation [76]. No payroll requirement for a single self-employed user [84]. Plus adds accountant access, which Lite does not include [83].

Main limitations. Lite is limited to five clients according to the reviewed pricing page, and Plus supports up to 50 [84]. The reviewed materials do not verify tax filing, tax advice, self-employment-tax computation, or quarterly estimated-tax automation [84]. Payment-processing costs are separate from the subscription and were not fully quantified [84]. Automatic mileage logging requires background location access [43]. Mileage tracking is restricted to Canada, the United States, and the United Kingdom [78]. One platform reports that iOS mileage tracking requires manual start and stop while Android auto-tracks [42], and another reports no automatic mileage tracking at all and recommends third-party apps [171].

Pricing or cost summary. FreshBooks' 2026 price-change notice states U.S. Lite at $23 per month or $248.40 per year and Plus at $43 per month or $464.40 per year, with annual plans including a 10% discount [71]. The ranking-stage price of $19 per month for Lite conflicts with that notice and should be treated as outdated or promotional [71]. Optional team members are listed at $11 per month per user, and Advanced Payments at $20 per month [84]. Payment processing is 2.9% plus $0.30 for standard cards and 3.5% plus $0.30 for American Express and commercial cards [71]. A 30-day free trial is available with no credit card required [83].

Where platforms disagreed. Fit ratings split six "good" to one "mixed," with the mixed rating citing the five-client cap and missing accountant access on Lite [300].

4. Zoho Books

Questions explored

  • Is Zoho Books worth it for a freelancer earning under $50,000, and what happens when revenue exceeds that threshold?
  • Does Zoho Books calculate self-employment tax or map expenses to Schedule C for a 1099 contractor?
  • Which Zoho Books plan does a freelancer need for automatic bank feeds and GPS mileage tracking?

Zoho Books is the fourth-ranked entity and the strongest free-plan value proposition for low-revenue freelancers. It was named by six of seven platforms with an average listed position of 4.17 and a best position of 2 [165]. The full Zoho Books fit review covers the free-plan eligibility rules.

Why it ranked here. The U.S. Free plan costs $0 per organization per month and is available indefinitely while revenue for the financial year remains at or below $50,000, including one user plus one accountant [165]. That is a genuinely usable free tier for a solo freelancer, and platforms rewarded it accordingly.

Best suited for. Solo freelancers with annual revenue below $50,000; contractors needing invoices, expense categorization, mileage records, bank reconciliation, and basic tax reports; and buyers who want a free or low-cost accounting system with accountant access and mobile apps [165].

Main strengths for this use case. The Free plan includes invoices, quotes, recurring invoices, payment reminders, online payments, and customer management [165]. Expense tools support recording, categorizing, attaching receipts, and reporting, plus mileage records and client billing of expenses [161]. Mileage can be entered by distance or odometer reading, and the mobile experience can track mileage with GPS and convert it into an expense [156]. The Free plan lists profit-and-loss, balance-sheet, and more than 50 reports [199]. One platform rates the mobile app as outstanding and highly rated across iOS, Android, and Windows [189].

Main limitations. No verified dedicated personal self-employment-tax calculation or tax-return filing workflow appears in the reviewed Zoho Books materials [168]. Free-plan eligibility depends on staying within the $50,000 annual revenue threshold, and the enforcement mechanism is not documented [232]. Bank-feed connections are listed under Standard rather than Free, and one platform reports the Free plan allows only one active automated bank feed connection [165]. One platform reports no automatic GPS-based mileage tracking in the mobile app and describes mileage as manual or odometer-based [154]. Another reports the mobile app draws mixed independent reviews for performance and UX [284]. The 1099 features concern business payments and contractor reporting, not the buyer's personal return [165].

Pricing or cost summary. U.S. pricing reviewed October 1, 2026: Free is $0 per organization per month; Standard is $20 per organization per month billed monthly or $15 per month billed annually, excluding local taxes [165]. Standard includes three users; Free includes one user plus one accountant [165]. Zoho describes Books as pay-as-you-go with no required contract or continuing commitment, and data remains in read-only mode after cancellation [165]. Online payment processing fees may apply and were not specified in the reviewed pricing page [165].

5. Xero

Questions explored

  • Is Xero worth it for a low-volume freelancer, and what are the invoice and bill caps on the Early plan?
  • Does Xero include mileage tracking and self-employment tax calculation on its entry plan for a 1099 contractor?
  • Is Xero Early or QuickBooks Online better for a freelancer who wants unlimited user seats and accountant access?

Xero is the fifth-ranked entity and the most mixed fit in the qualifying set. It was named by five of seven platforms with an average listed position of 6.00 and a best position of 4 [133]. The full Xero fit review covers the plan caps in detail.

Why it ranked here. Xero is a capable bookkeeping platform with strong bank reconciliation, receipt capture, and unlimited user seats, but its entry plan imposes hard transaction caps and its tax tooling is not freelancer-specific. Five platforms named it, and none placed it above fourth.

Best suited for. Freelancers who want full double-entry bookkeeping rather than a simple tax-preparation app; contractors who send recurring invoices and need bank-feed reconciliation; and users who want receipt capture, mileage records, sales-tax tracking, and 1099-related reporting [133].

Main strengths for this use case. Strong core bookkeeping for income, expenses, bank reconciliation, and accountant collaboration [133]. Receipt capture and mileage-recording workflows, including the Xero Me app for mileage claims [133]. Built-in invoicing with online payment support [143]. Unlimited user seats on all plans at no extra charge, which lets a freelancer grant accountant access without paying per seat [310]. Hubdoc document capture is included on all plans including Early [318].

Main limitations. Xero does not directly file the freelancer's federal or state income-tax return and does not replace tax advice or a filing product for Schedule C and Schedule SE [136]. The Early plan limits invoices and quotes to 20 per month and bills to five per month [143]. Mileage tracking with GPS-based automatic distance calculation is reported as available only on the higher Established plan, not Early [315]. Some expense features appear plan-limited, with the full expense workflow requiring an upgrade [132]. Independent evidence on mobile-app usability and reliability is insufficient [133].

Pricing or cost summary. Xero's US pricing-update notice states that Early increases from $25 per month to $27 per month effective October 1, 2026 [144]. The ranking-stage figure of $20 per month appears outdated or tied to a different market or plan version [133]. Higher tiers are cited at $55 per month for Growing and $90 per month for Established [312]. Subscriptions auto-renew monthly, and cancellation requires one month's notice with the notice period remaining billable [139]. A 30-day free trial is available without a credit card [313].

Where platforms disagreed. Fit ratings split between "good" and "mixed." One platform rated it good for freelancers who work with an accountant [260]; four rated it mixed, citing the invoice caps, plan-gated mileage, and absent self-employment tax tools [133].

6. Keeper Tax

Questions explored

  • Is Keeper Tax worth it for a freelancer who wants deduction tracking and tax filing in one product, and what are its drawbacks?
  • Does Keeper Tax track mileage automatically, or does a contractor need a separate mileage app?
  • What does Keeper Tax Standard cost, and does it include federal and state filing?

Keeper Tax is the sixth-ranked entity and the most tax-focused option in the qualifying set. It was named by four of seven platforms with an average listed position of 5.25 and a best position of 1 [105]. The full Keeper Tax fit review covers the plan tiers and filing scope.

Why it ranked here. Keeper is not a general accounting platform; it is a tax and deduction tool. Platforms that named it rewarded the combination of automated deduction discovery and included filing, while platforms that did not name it appear to have favored broader bookkeeping products. Its best position of 1 came from a platform that rated it a strong fit for 1099 contractors [5].

Best suited for. Single-user freelancers, contractors, sole proprietors, and single-member LLCs filing business activity on a personal return; users who want bank-linked expense categorization and tax-focused deduction tracking; and users who want annual federal and state filing with expert review included [105].

Main strengths for this use case. Keeper can link financial accounts, scan transactions for potential write-offs, categorize expenses, attach receipt photos, and allow manual entry when no bank account is linked [102]. Standard includes year-round income and expense tracking plus federal and state tax filing with expert review [105]. Running tax estimates and quarterly-payment assistance are documented, with quarterly-payment assistance listed as a Premium feature [105]. Mobile app ratings are strong: one platform reports 4.5 stars on Google Play with 5,500+ reviews and 4.8 on the iOS App Store [214].

Main limitations. Invoicing appears to be a template-based or lightweight capability rather than a full accounts-receivable system [104]. Formal profit-and-loss preparation and broader bookkeeping services are not included in the cited Premium scope [105]. Mileage capabilities are described inconsistently across Keeper's own public pages [103]. The tax estimate is not guaranteed to include every possible income, credit, or deduction category [105]. Multi-member LLC, partnership, and S-corporation workflows are outside the straightforward target use case [105]. One platform reports filing accuracy inconsistency and support responsiveness complaints, with a notable gap between Trustpilot ratings and Better Business Bureau ratings [196].

Pricing or cost summary. Current public pricing shows Bookkeeping Only at $20 per month or $240 for 12 months, Standard at $199 billed yearly, and Premium at $399 billed yearly [105]. Standard includes federal plus up to two state returns; Premium and Business cover three or more states [107]. Returns older than the prior-year coverage listed for Premium may incur an additional $200 per return, and additional tax-pro calls beyond the included Premium quarterly call are listed at $60 per call [105].

7. Hurdlr

Questions explored

  • Is Hurdlr worth it for a freelancer who drives for work and needs automatic mileage tracking plus tax estimates?
  • Which Hurdlr plan does a contractor need for invoicing and included tax filing, and what does each cost?
  • Does Hurdlr track mileage automatically on the free plan, or is Premium required?

Hurdlr is the seventh-ranked entity and the most specialized option in the qualifying set. It was named by three of seven platforms with an average listed position of 3.67 and a best position of 2 [54]. The full Hurdlr fit review covers the free, Premium, and Pro tiers.

Why it ranked here. Hurdlr's average listed position of 3.67 is the second-best in the set, but only three platforms named it, which caps its consensus rank. The platforms that did name it rewarded its mileage and self-employment tax focus. It is a narrow, purpose-built tool rather than a general accounting platform.

Best suited for. Mobile-first freelancers and contractors who drive for work and need automatic mileage tracking; self-employed individuals who want real-time federal, state, and self-employment tax estimates; and single users seeking lower-cost automated expense and income tracking rather than full small-business accounting [54].

Main strengths for this use case. Hurdlr estimates federal income tax, self-employment tax, and applicable state income tax in real time, and supports tracking quarterly tax payments [54]. Premium adds automatic mileage tracking and mileage rules on top of the free tier's unlimited semi-automatic tracking [86]. Premium and Pro add automatic bank and credit-card finance tracking, CSV import, transaction tagging, and rule-based categorization [64]. A Tax Details report contains business income, expenses, and mileage for use by the taxpayer or preparer [58]. The App Store listing shows a 4.7 rating from approximately 21,000 ratings [174].

Main limitations. Tax calculations are estimates, not tax advice or a guarantee of filing accuracy [54]. Local taxes and sales-tax tracking are not covered by the documented tax engine [54]. Automatic mileage can fail when device permissions, location settings, or battery-management controls restrict background activity [55]. The free tier requires manual finance tracking and does not provide automatic bank or credit-card tracking [64]. Invoicing is documented as a Pro feature, so Premium alone may not meet a buyer who requires built-in invoicing [89]. One platform reports that Hurdlr is heavily optimized for iOS with more limited feature depth on Android [208]. Another reports no invoicing on any plan, which conflicts with the Pro documentation [285].

Pricing or cost summary. Premium is published at $9.99 monthly or $100 annually in Hurdlr's help documentation; the App Store listing shows $9.99 monthly and $99.99 annually [53]. Pro is published at $200 per year and includes Premium features plus federal-and-one-state annual tax filing for eligible U.S. non-enterprise users, invoicing and payment collection, accountant access, advanced accounting, home-office deduction tracking, and advanced reporting [60]. Subscriptions can be canceled at any time with access continuing through the current expiration date, and direct Hurdlr subscriptions are generally non-refundable [59]. One platform reports Pro pricing is not publicly displayed and requires contacting sales, which conflicts with the published $200 figure [91].

What this study reveals

Questions explored

  • What do AI platforms consistently recommend for freelancer and contractor accounting, and where is the market fragmented?
  • Which freelancer accounting categories - free bookkeeping, invoicing-first, or tax-first - attract the most platform agreement?

Three patterns stand out across the seven platforms.

First, the market splits into three distinct product categories, not one. General bookkeeping platforms (QuickBooks Online, Wave, FreshBooks, Zoho Books, Xero) dominated the ranking because they cover the widest set of freelancer needs. Tax-first tools (Keeper Tax, Hurdlr) qualified but ranked lower on consensus because fewer platforms named them, even though the platforms that did name them often rated them highly. A buyer choosing between these categories is really choosing between bookkeeping depth and tax automation.

Second, no platform in this set fully solves the freelancer tax problem. Every qualifying entity has a documented gap in at least one of the buyer's five criteria. QuickBooks Online lacks state estimated tax calculation [25]. Wave lacks verified self-employment tax tools and native mileage [51]. FreshBooks lacks Schedule C generation and self-employment tax calculation [83]. Zoho Books lacks a verified personal self-employment tax workflow [168]. Xero does not file returns and gates mileage behind a higher plan [136]. Keeper Tax lacks robust invoicing and has conflicting mileage documentation [104]. Hurdlr lacks local and sales tax coverage and gates invoicing behind Pro [54].

Third, pricing is the least stable evidence in the study. Every entity had at least one pricing conflict across platforms, and several had three or more.

Where the AI Platforms Agreed

Questions explored

  • Which freelancer accounting platforms did all seven AI platforms recommend, and what did they agree on?

Agreement was strongest on the top three entities and on several structural facts.

  • QuickBooks Online, Wave, and FreshBooks were named by all seven platforms. No other entity achieved that [29].
  • QuickBooks Online was placed first by five of seven platforms [191].
  • Wave's free Starter plan includes unlimited invoicing and bookkeeping records. No platform disputed this [117].
  • FreshBooks is strongest at client invoicing. Platforms consistently described invoicing as its core strength [84].
  • Zoho Books' Free plan is available while annual revenue stays at or below $50,000. Multiple platforms reported the same threshold [165].
  • Xero includes unlimited user seats on all plans at no extra charge. This was reported consistently [310].
  • Keeper Tax Standard includes federal and state filing with expert review. Multiple platforms confirmed this [105].
  • Hurdlr provides real-time self-employment tax estimates. This was reported consistently across the platforms that named it [54].

How to compare your options

Questions explored

  • What should a freelancer check before choosing accounting software for contractor tax filing?
  • Which freelancer accounting platform should a buyer pick if they need both invoicing and automatic mileage tracking?

Work through the buyer's own constraints in this order.

1. Decide whether the primary need is bookkeeping or tax filing. If the buyer needs ongoing books, invoicing, and reports, the top five ranked entities are the relevant set. If the buyer mainly needs deduction discovery and annual filing, Keeper Tax is the ranked match [105]. If the buyer mainly needs mileage and live tax estimates, Hurdlr is the ranked match [54].

2. Check the free-tier eligibility rules. Wave's Starter plan is free with no revenue cap [117]. Zoho Books' Free plan is free only while annual revenue stays at or below $50,000 [165]. Hurdlr's free tier excludes automatic finance and mileage tracking [64]. These are materially different free offers.

3. Match the plan to the buyer's client count and invoice volume. FreshBooks Lite caps at five clients [84]. Xero Early caps at 20 invoices and five bills per month [143]. A freelancer with more than five clients or more than 20 monthly invoices will hit these caps and face an upgrade.

4. Verify mileage tracking on the exact plan and device. This is the single most conflicted criterion in the study. QuickBooks Online requires the mobile app for automatic tracking [26]. Wave relies on a Driversnote integration [51]. FreshBooks' behavior differs by platform and source [42].

Methodology

This study asked one standardized prompt once to each of seven AI platforms on October 1, 2026. The prompt described a solo independent contractor in the United States who needs to track income and deductible business expenses for quarterly tax estimates, has no employees or inventory, wants something simple and mobile friendly rather than a full business accounting suite, and cares about easy client invoicing and mileage tracking.

The seven included platforms were ChatGPT, Claude, DeepSeek, Grok, Perplexity, Kimi, and Gemini. Each platform returned a set of recommended providers with reasoning. The study then extracted every named entity, collapsed company-name variants onto one canonical brand, and counted how many platforms named each entity during ranking discovery.

An entity qualified for the final ranking only if it was named by at least two platforms. Nineteen unique entities were named; seven qualified. The final ranking order is based on platform mentions, then average listed rank, then best listed rank. The ranking table in this report is the sole authority for rank, mentions, share, average position, and best position.

Platform mentions count only ranking-discovery mentions. They do not represent the number of platforms that later completed a fit assessment, and they are not a measure of product quality.

Each qualifying entity was then researched in more detail. The evidence bundles contain platform-reported claims, pricing, strengths, limitations, disagreements, and citations. Company-owned sources and independent sources are distinguished where the evidence bundles provide that information. Citations are platform-reported evidence, not independently verified facts.

Research limitations

Several limitations apply to every finding in this report.

  • One prompt, one run. The study used a single standardized prompt sent once to each platform. Different wording, a different date, or a repeated run could produce different recommendations.
  • AI answers vary. Platform answers can vary by date, wording, location, account state, model, interface, browsing configuration, and the sources retrieved.
  • Platform-reported research dates differ from the run date. The authoritative study date is October 1, 2026. Platform-reported dates ranged from October 2024 to February 2026 and are provenance metadata only; they do not independently prove freshness.
  • Not all platforms searched. One included platform ran without search enabled, so its claims require explicit verification before being treated as current facts.
  • Company-owned citations outnumbered independent ones for most entities. Company claims should not be described as independently verified.
  • Pricing and plan names conflicted across platforms. This report describes the conflicts rather than resolving them. Buyers must verify current pricing, plan names, and feature boundaries directly.
  • URLs were collected from platform responses and were not independently validated.
  • Platform recommendations are market intelligence, not independent customer reviews or proof of quality. No independent product testing was performed.
  • Identity normalization used exact-name fallback in some cases, and official-site retrieval failed for at least one entity. Reported domains should be treated as unverified identity details until confirmed.
  • Missing research is not disagreement. Where a platform did not name an entity, this report does not infer that the platform rejected it.

The consensus assessment

QuickBooks Online is the consensus leader for freelancer and contractor accounting in this 7-platform study, named by all seven platforms with an average listed position of 1.43. It is a good rather than flawless fit: it covers income and expense tracking, invoicing, receipt capture, mileage, reports, and accountant access without payroll, but it does not calculate state estimated taxes, does not file returns, and carries unresolved pricing conflicts.

Wave is the strongest free option and the best match for a freelancer who wants $0 core bookkeeping and unlimited invoicing. FreshBooks is the best match for invoicing-heavy solo service work, with the caveat of a five-client cap on Lite. Zoho Books is the best free-plan value for freelancers under $50,000 in revenue. Xero is the best match for freelancers who want full double-entry bookkeeping and unlimited user seats, provided they can live with the Early plan's invoice and bill caps. Keeper Tax is the best match for a freelancer who wants deduction discovery and annual filing in one product. Hurdlr is the best match for a mobile-first contractor who drives for work and wants automatic mileage plus live tax estimates.

No single platform in this set solves every freelancer need. Buyers should match the ranked entity to their own client count, invoice volume, mileage habits, revenue level, and tax filing preference, then verify pricing and feature boundaries directly before purchasing.

Frequently Asked Questions

Which accounting software is best for a freelancer or 1099 contractor in 2026? QuickBooks Online ranked first in this 7-platform study, named by all seven platforms with an average listed position of 1.43. Wave and FreshBooks also appeared on all seven platforms and are the strongest alternatives for free bookkeeping and invoicing-heavy work respectively.

Is Wave really free for freelancers? Wave's Starter plan is $0 and includes unlimited estimates, invoices, bills, bookkeeping records, and mobile invoicing [117]. Automatic bank imports, receipt capture, and mobile transaction management require the Pro plan at $19 per month or a separate Receipts subscription [117].

Does QuickBooks Online calculate self-employment tax? QuickBooks Online can organize records relevant to Schedule C and tax deductions, and Solopreneur and Simple Start calculate federal estimated quarterly taxes automatically. Neither calculates state estimated quarterly taxes [25]. The subscription should not be treated as complete tax-return preparation or filing [29].

Which freelancer accounting platform includes tax filing? Keeper Tax Standard includes federal and state filing with expert review [105]. Hurdlr Pro includes federal-and-one-state annual tax filing for eligible U.S. non-enterprise users [60]. No other qualifying entity documents included filing in the reviewed evidence.

Does FreshBooks track mileage automatically? Platforms disagreed. One source describes automatic background logging on iOS and Android [79], another describes iOS as manual and Android as automatic [42], and a third says there is no automatic mileage tracking [171]. Buyers should verify on their own device.

Study limitations

  • Recommendation counts measure mentions during the ranking stage. Later fit assessments do not increase those counts.
  • Some evidence identifiers refer to individual platform responses rather than independently verified sources.
  • Source URLs came from AI platform responses and were not independently validated during report preparation.

Affiliate & commercial disclosure

We may receive compensation when you follow certain links, subscribe to a software plan, or take another qualifying action through a commercial partner. These relationships create a potential financial conflict, but do not influence recorded AI recommendations or ranking calculations. Partner availability, pricing, features, and service terms can vary.
